What Success Looks Like:
Your Impact
Type letters, emails, memos, agendas, invitations, and other correspondence from dictation, notes, by phone or general direction
Schedule individual and group appointments, interviews, meetings, and conference calls (on- and off-property)
As applicable, monitor email and proactively respond to meeting requests, add items to the calendar, delete junk mail, accept calendar invites, move pertinent emails to electronic folders, etc. Generally work to keep email inbox organized and assist with maintaining quick responses.
Maintain property, project and meeting files; both electronic and physical files
Become familiar with key Columbia Hospitality owners/clients and their special requests
Coordinate travel arrangements, reservations, and details, i.e., car, hotel, flights
Prepare monthly expense reports and credit card reconciliations for leader(s)
Coordinate cash drop, change requests, etc.
Assist with cash deposits
Assist with team member onboarding
Assist with property compliance matters
Assist with special projects
Serve as primary back-up to the receptionist in answering multi-line telephone and intercom doorbell, covering lunches, breaks and PTO days
Other duties as assigned
What You Bring
Bachelors degree in marketing, communications, business or related field is preferred
Have a professional, friendly, and enthusiastic demeanor
Be detail-oriented, and have exceptional organizational, proofreading and grammar skills
Be reliable and punctual
Have the ability to multi-task and work in an environment with shifting priorities and frequent interruptions
Self-directed professional with strong interpersonal skills
Service oriented (both internal and external)
Exceptional written and verbal communication skills
Demonstrated poise, diplomacy and good judgment
Efficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook and SharePoint)
